1. Information we collect

We may collect information you provide to us, including name, company name, job title, email, phone number, WhatsApp number, enquiry details, messages and other information you voluntarily provide. We may also collect technical website information such as IP address, device/browser information, pages visited and timestamps.

2. How we use information

• Respond to enquiries and arrange consultations or demonstrations.
• Understand workflow requirements.
• Provide, develop, test, evaluate, maintain and improve our agentic AI services.
• Send marketing communications where we have an appropriate legal basis and, where required, consent.
• Maintain security, prevent misuse and comply with law.

3. WhatsApp

We may use WhatsApp to communicate with prospects and clients, respond to enquiries, understand requirements and arrange meetings. WhatsApp is operated by Meta and may process information under its own terms and privacy practices. Marketing messages will be sent with consent where required and will include an appropriate way to stop receiving them.

4. AI and model improvement

We may use information you provide to develop, test, evaluate and improve our own agentic AI systems. For client engagements, contracts and data-processing terms will determine whether Nextronix acts as controller, processor, service provider or another legally recognised role. Client data will be handled according to the applicable agreement and law.

5. Service providers

Information may be processed by providers supporting cloud hosting, communications, AI systems, security, analytics, CRM and business operations. Our planned infrastructure includes rented cloud servers and Meta/WhatsApp services.

6. International transfers

Information may be processed in countries other than your own. Where applicable law requires safeguards, we intend to use legally recognised transfer mechanisms such as adequacy decisions or contractual safeguards.

7. Retention

Unless a shorter period is required by law or contract, we intend to retain website enquiries, business communications and related records for up to 7 years. Longer retention may apply where necessary for legal claims, regulatory obligations or security.

8. Security

We intend to use reasonable technical and organisational measures to protect personal information. No online system can be guaranteed completely secure.

9. Your rights

Depending on applicable law, you may have rights to access, correct, delete, restrict or object to processing, obtain a portable copy, withdraw consent and complain to a data-protection authority. Where the EU/UK GDPR applies, we intend to provide the transparency and lawful-basis information required by applicable law. Where California privacy laws apply, applicable rights may include knowing, deleting, correcting, opting out of sale/sharing where applicable, limiting certain sensitive-information uses where applicable and non-discrimination.

10. Singapore PDPA

Where the Singapore Personal Data Protection Act applies, we intend to comply with applicable obligations concerning notification, consent, purpose limitation, accuracy, protection, retention, access/correction, transfer limitation and accountability.

11. Cookies

We may use necessary technologies to operate and secure the website. If non-essential analytics or tracking technologies are introduced, we will provide appropriate notices and obtain consent where required.

12. Changes

We may update this policy as our services, technology, legal obligations or business structure develop.
